TEAM POLICIES

Payments

All program payments should be processed through the Louisville Dive Club payment system at louisvillediveclub.comunless prior arrangements have been made with the Club.

We are happy to accept payment by cash or check when arranged in advance. However, if payments are consistently late or missed, Louisville Dive Club reserves the right to require future payments to be made through the Club’s online payment system.

Monthly and Session Fees

Louisville Dive Club programs are generally billed on either a monthly or session basis, depending on the program. Enrollment in a program represents a commitment to the applicable monthly or session fee.

Monthly or session fees are not based on the number of practices attended during that billing period. Therefore, missed practices, late arrival, early departure, vacations, school activities, or other personal scheduling conflicts do not reduce or eliminate the responsibility for payment.

Annual or Prepaid Fees

Families who choose to pay program fees in advance for an entire year or season may be eligible for a prorated refund if the diver leaves the program before the end of the applicable period.

Any request for a refund must be submitted promptly by email to louisvillediveclub@gmail.com. Refunds will be considered based on the amount of the program completed, the payment terms applicable to that program, and any non-refundable fees or expenses incurred by the Club.

Louisville Dive Club will make every effort to handle prorated refunds fairly and consistently.

Leaving the Program

If a diver decides to leave the program for any reason, the diver or parent/guardian is responsible for notifying Louisville Dive Club by email at louisvillediveclub@gmail.com no later than the 5th of the month preceding the month in which the diver intends to leave.

For example, if a family wishes to discontinue participation beginning October 1, written notice must be received by September 5. Notice received after the 5th may result in the family being responsible for the following month's payment. Simply stopping attendance does not constitute notice of withdrawal and does not stop the billing process.

Missed Practices and Late Arrival

Program fees are based on enrollment and the availability of coaching and facility time, not on individual attendance.

Therefore:

• Arriving late to practice does not reduce the monthly or session fee.
• Missing an individual practice does not reduce or eliminate the payment obligation.
• Vacations, school activities, competing in other sports, illness, or other personal conflicts do not automatically qualify for a reduction or refund.
• A diver's absence from practice does not constitute withdrawal from the program.

Families should communicate with the coaching staff regarding extended absences whenever possible.

Extended Absences

If a diver expects to be away from the program for an extended period, families should contact Louisville Dive Club before the absence begins to discuss the circumstances and determine whether any alternative arrangement is available.

Extended absences do not automatically suspend billing unless an arrangement has been approved by the Club in advance.

We are always happy to discuss individual circumstances, but arrangements should be made before, rather than after, a payment becomes past due.

Louisville Dive Club appreciates your cooperation and support. Our goal is to maintain a consistent and predictable billing process so that we can continue to provide quality coaching, pool time, equipment, and competitive opportunities for all of our divers.

During the season, Louisville Dive Club plans to participate in a variety of competitions. These may include local developmental meets as well as Regional, Zone, and National-level competitions that may require travel.

Meet Participation

Participation in local meets is strongly encouraged for Louisville Dive Club team members. Competition is an important part of an athlete’s development and provides divers with valuable experience in preparing for, competing in, and learning from meet situations.

Regional, Zone, and National-level competitions provide additional opportunities for athletes who are ready to compete at those levels. Participation in these competitions is also strongly encouraged when appropriate and will generally be based on the diver’s development, competitive readiness, goals, and recommendations from the Louisville Dive Club coaching staff.

Coaches will communicate information regarding upcoming competitions as early as reasonably possible. Pertinent information will include, when available, meet dates, location, registration deadlines and fees, anticipated travel requirements, lodging information, and estimated coach travel expenses.

Meet and Travel Expenses

Most competitions require registration or entry fees. Divers and their families are responsible for all registration, entry, and other individual competition fees associated with their participation.

Families are also responsible for their diver’s transportation, lodging, meals, and other personal travel expenses associated with attending a competition.

When Louisville Dive Club coaches travel to a competition on behalf of the team, the reasonable costs of the coaches’ travel, lodging, meals/per diem, and other approved travel expenses will be shared among the participating divers. The Club will provide families with an estimated amount due for coach travel expenses prior to the competition whenever reasonably possible.

Coach travel expenses may vary depending on the location, length of the competition, number of coaches attending, and number of participating divers.

Transportation

Any diver participating in an away competition must have an appropriate parent, guardian, or other approved adult responsible for their transportation to and from the competition.

In accordance with Louisville Dive Club policies and applicable USA Diving Safe Sport requirements, Louisville Dive Club coaches will not provide transportation to or from competitions for individual athletes.

Families are responsible for making appropriate transportation arrangements for their diver.

Supervision During Competitions

Louisville Dive Club coaches are responsible for coaching and supervising participating divers during designated team activities at the competition venue, including warm-ups, competition, and other team activities scheduled by the coaching staff.

Outside of designated team activities, parents, guardians, or an approved adult chaperone are responsible for the supervision and care of their diver.

Families should not assume that a Louisville Dive Club coach is responsible for supervising a diver outside of scheduled team activities, including during travel, meals, hotel stays, free time, or other activities away from the competition venue.

For overnight or travel competitions, families are responsible for making appropriate arrangements for their diver’s lodging and supervision outside of scheduled team activities.

Changes and Special Circumstances

Meet schedules, competition requirements, travel arrangements, and associated costs may change due to circumstances beyond the Club’s control. Louisville Dive Club will communicate significant changes to participating families as soon as reasonably possible.

Participation in a competition is ultimately a family decision; however, divers and families are encouraged to discuss competition plans with the coaching staff in advance, particularly for Regional, Zone, and National-level events.

Diver Rules 

• It is expected that all divers respect ALL coaches on the coaching staff, as well as fellow divers. 
• Divers exhibiting poor behavior or bad attitudes will be asked to leave practice. 
• Repeated attitude or behavior problems will result in removal from the program. 
• Divers are expected to attend all scheduled practices. Not only is this an important life skill, it helps each diver improve and reach their potential.
• Please let the head coach know if you will be missing a practice and the reason for your absence. 
• The diver is responsible for all communication with the head coach or coaching staff. Any questions, conflicts, injuries should be discussed between the coach and the diver. 

Parental Rules 

• All parents who wish to stay and observe their son/daughter’s training session must sit in the bleacher area. Parents may not observe on the pool deck. 
• At no time should you coach your son/daughter before, during, or after practice. 
• ALL coaching/training questions should be directed to your child’s coach.

Parents are not allowed in the dryland facility unless they have contracted for a one-on-one lesson

The Louisville Dive Club strives to have an open communication policy with all participants. If at any time, you feel you would like to leave the program or have any other concerns with your diver’s participation, we first suggest you address concerns in a scheduled meeting with their coach. If your concerns persist, please notify us at louisvillediveclub@gmail.com so we can schedule a meeting to discuss how to proceed. 

Addressing complicated issues at a practice or on the pool deck does not allow us to appropriately address your concerns. We certainly do not want any unhappy divers participating with us, but diving is a sport where athletes do experience challenges, and we want the best for each of our athletes and are more than willing to discuss options.
